Javi was built by an actual video production company that ran into the same scaling problems many growing teams face—multiple shoots happening at once, gear constantly moving between crews, and no reliable way to track who had what.

Spreadsheets, group chats, and disconnected systems worked for a while, but eventually became impossible to manage at scale. Javi was created to give production teams a faster, clearer way to stay organized without the chaos.

Javi is not a rental house or invoicing platform. It’s a lightweight production gear management system focused on equipment organization, reservations, checkouts, kits, and keeping productions running smoothly without overly complicated workflows.

Team Members are simple crew profiles that can be assigned to events, gear, reservations, and tasks without needing their own login. They’re great for organizing productions and tracking responsibilities across your team.
Seats are full user accounts with their own login and advanced features like individual Asana integration, email reminders, activity tracking, and other account-level permissions. Seat activity is tracked so you can see exactly who made changes, completed tasks, or managed gear inside Javi.

Yes. Javi gives your team a clear view of who has what equipment, where it’s assigned, and when it’s expected back—without chasing people down over text or spreadsheets.

Yes. Javi automatically generates QR codes so your team can quickly scan items in and out during prep, production, and returns. You can also print QR sheets and labels to make organizing and tracking equipment faster on set and in storage.

Yes. Javi includes a custom Excel import template so you can quickly upload your existing inventory instead of adding everything manually. Javi can also automatically attach gear images based on the most relevant equipment names to help further speed up setup.

Yes. Javi is built to work across desktop, tablet, and mobile devices so your team can manage gear whether they’re in the office, on set, or in the middle of prep.

Javi lets you track gear you rent from third-party vendors alongside the gear you own. Rental items are managed separately — you can log the rental house, order number, return date, and notes for each item. They show up on your event manifests and availability calendar just like owned gear, and are automatically flagged for return tracking.

Owned and rental gear have independent limits on every plan — so renting gear doesn’t eat into your owned inventory allowance. When you mark a rental item as returned, it’s flagged in the system and removed from active inventory. Rental items are automatically cleaned up six months after creation to keep your gear library tidy.

Events have separate tabs for owned gear reservations and rental gear, but both appear together on your printed manifest and in the event overview.

No. Every Javi tier, including our free plan, includes the full platform and core feature set—including adding owned and rental gear, events, kits, QR tracking, and reservations.
As your team grows, pricing mainly scales based on how much gear you need to manage—not by locking essential features behind expensive tiers. That means you only pay for the inventory capacity you actually need.
